First: Organization of Attendance and Entry

The student shall adhere to the following:

• Notify the university administration in advance of the expected number of attendees, in order to ensure proper organization and the comfort of all.

• Provide the university with the names of guests wishing to enter the campus prior to the defense date, noting that a limited number of attendees will be permitted in accordance with hall capacity and safety and organizational requirements. Please note that children under the age of fifteen are not permitted.

• Pre-register vehicle license numbers for which entry permits are requested, noting that the number of permitted vehicles is limited.

Second: Organization of Defenses within Halls

The defense hall is an official academic space; therefore, in consideration of the academic nature of the defenses:

• Refreshments and beverages are not permitted inside the defense halls, nor are flowers or gifts permitted to be placed therein.

• No equipment or decorations that obstruct movement or affect emergency exits may be placed, in compliance with safety standards.

• Complete silence must be maintained during the project presentation and discussion, out of respect for all students and committee members.

Third: Photography and Media Coverage

• Notify the university administration in advance if a photographer or filming crew will be present.

• Photographers shall remain in designated areas to ensure that the defense proceedings are not disrupted and that attendees are not disturbed.

• The use of strong lighting, noisy equipment, or drones is prohibited within the university campus.

• Avoid random movement during the presentation or academic interventions, in order to maintain the student's concentration and the smooth flow of the defense.

Fourth: Organization of Celebratory Gestures

The university encourages the celebration of graduates in a civilized manner befitting the occasion, while refraining from the following:

• Holding loud or rowdy celebrations within the university campus.

• Using loudspeakers or loud music inside university buildings.

• Using fireworks, smoke devices, or any means that may pose a risk to public safety.

Please note that suitable outdoor areas have been designated for welcoming well-wishers and taking commemorative photographs after the defense.

Fifth: Notes on Conduct and Attire

We kindly request all students and attendees to wear appropriate attire that reflects the serious academic nature of the occasion. We also expect everyone to maintain civilized conduct and to respect the university's regulations, staff, and students. Please be advised that any behavior causing disturbance or affecting the smooth conduct of the defenses will be treated as a violation of organizational instructions.

Sixth: Compliance with Instructions

The university is committed to ensuring that each student experiences their graduation moment in the best possible manner. Therefore, adherence to these instructions is a shared responsibility that ensures the success of the occasion and the respect of all attendees. In this context, the university administration reserves the right to take appropriate measures against any violation, including:

• Halting any conduct that contravenes the instructions.

• Removing violators when necessary.

• Recording a disciplinary violation in serious cases.

• Holding the student responsible for any damages or infractions resulting from non-compliance.

Seventh: The Dean's Office of each faculty shall organize the defenses in coordination with the University Secretariat, in accordance with the above controls.

Note: In application of the foregoing, students are required to complete a form pertaining to the above items for the proper implementation of this decision. The form shall be obtained from the Head of Department in the respective faculty and submitted three days prior to the defense.
